Generalized Flow for Using Smart Lockers for Delivery Purposes

1. Purpose

Smart lockers are designed to optimize the secure delivery and distribution of objects (documents, equipment, goods) to defined recipients. They allow users to securely store objects, generate access codes (QR/PIN) and use a management system to track deliveries, generate reports and integrate with other systems via API.

2. Users

-Beneficiary (Citizen/Employee/Business Partner) – The person authorized to pick up the item from the locker.
-System Administrator – The person with administrative rights on the management server.

3. Prerequisites

-Smart lockers are installed in a designated location inside or outside the company/organization.
-Users are registered in the system and have authorized access.
-The management system is functional and integrated, allowing automatic generation of access codes and notifications.
-Users can authenticate using QR code, PIN, RFID card or password

4. Main Flow

1. Depositing an Object
-The authenticated user (employee/delivery person) selects an available locker.
-Deposits the object in the designated compartment.
-Closes the locker door, triggering the automatic generation of a unique QR code and PIN.
-The system sends a notification (SMS/email) to the beneficiary with the access code and pickup instructions.
-The management server records the transaction details.

2. Picking up an Object
-The beneficiary arrives at the locker.
-Authenticates using QR code, PIN, RFID card or password.
-The system validates the code and unlocks the compartment.
-The beneficiary picks up the object and closes the locker.
-The system records the delivery as completed and notifies the management server.

5. Alternative Flow

-If the system fails to generate a QR/PIN code, the user can request manual generation or technical support.
-If the beneficiary cannot access the object, they can contact customer support.
-If the object is not picked up within a p

6. API Integration

Delivery Management System – For real-time synchronization and tracking.
-Automatic Notifications – Sending QR/PIN codes via SMS, email.
-Reports and Analysis – Generating reports on deliveries, statuses and usage time.
-Integration with Courier Services – For updating deliveries and their status.
-Integration with CRM – For feedback and optimizing user experience.

Through this flow, smart lockers provide an efficient, secure and easy-to-manage system for the delivery and distribution of objects in various fields of activity.
